Rule_2020_2. - Use of club room

General regulations.

Except where otherwise specified in this regulation the club room may only be used by members and associate members of Edlesborough Community Sports Club C.I.O. (ECSC) and their personal guests.

Notes on security and CCTV

Users of the club room must accept that the room is monitored by recorded CCTV. Those recordings will be used by ECSC for the purpose of security but may be further used by the Trustees of ECSC in cases of reported breaches of discipline in the club room.

Protection of children and adults at risk

All users of the club room will strictly support and comply with ECSC’s policies relating to child protection and adults at risk.

Opening and closing

The club room shall open and close, and qualifying club activities take place, at such times as the ECSC Trustees may from time to time determine, but in any case as determined by the building’s planning consent.
The sale of alcohol will be regulated by the premises licence granted to ECSC club under the provisions of the Licensing Act 2003.

Members Guests

A member may personally introduce friends as his guests, but no member may introduce more than three friends at any one time, and may not introduce the same guest more than six times in a calendar year. For record the member introducing the guest shall sign his/her name in a book kept for that purpose together with the name of the guest. The following shall not be admitted as guests:

  1. Former members who have been expelled.
  2. Former members who have ceased to be members through non-payment of subscriptions.
  3. Persons who, having been nominated for membership, have not been accepted.
  4. Members who are under suspension.

Members and Associates must accompany guests introduced by them during the period of their stay in the club. Guest shall be permitted to make payments for alcohol directly or indirectly, provided that the member introducing them has satisfied the two-day rule here referred to in the paragraph “Sale of Alcohol”.

Dress and behaviour.

Members and their guests are required to dress in a smart, if casual, manner at all times and their behaviour should be acceptable for a club room used by many different age groups. The Trustees have decided not to impose specific dress restrictions but members and their guests are expected to be reasonable in their interpretation of ‘smart, if casual’ and not wear inappropriate clothing. It is also expected that members will advise their guests of our dress and behaviour requirements.

Sale of alcohol.

  1. The sale of alcohol will be subject to the terms and conditions specified in the Premises Licence granted to ECSC under the provisions of the Licensing Act 2003.
  2. The sale of alcohol may be stopped at any time if directed by the Trustees of ECSC or their representative.
  3. Members will be permitted to purchase alcohol from two days after receiving notification by ECSC that their application for membership has been accepted.

Use by visiting teams.

Players and officials of visiting teams, or individuals taking part in organised sports, shall be allowed to use the club room for an appropriate period before, during and after the sports activity in which they are involved. This period may vary dependent on the sport and be finally determined by the Trustees of ECSC or their representative.

  1. The captain or senior official of the home team must ensure that the names and contact details of those allowed enjoyment of the facilities of the club room are recorded in the book provided for the purpose before they enter the club room.
  2. Visiting teams and individuals may purchase food and refreshments including alcohol under those conditions shown above in the paragraph “Sale of Alcohol”.
  3. Visiting teams will be required to maintain the same standard of dress and behaviour as members and will be asked to leave the pavilion premises if not maintaining that standard.

Use by visiting supporters.

Supporters of visiting sports clubs who are not members or associate members of ECSC will in general have no right of admission to the pavilion or club room. The Trustees will consider applications from the appropriate home sports clubs to vary this ruling with the proviso that the applying home club take full responsibility for the behaviour of those supporters.

If such an application is granted:

  1. The home club must ensure that the names and contact details of the visiting supporters are recorded in the book provided for that purpose.
  2. The home team will ensure the visiting supporters comply with the standards of dress and behaviour required of members and removal from the pavilion premises of supporters not meeting those standards.
  3. The Trustees will consider whether the sale of alcohol is appropriate even if permitted by ECSC’s Premises licence.
  4. The home club will ensure that all non-members leave the pavilion premises once the sporting activity is completed.

Hire of club room by others.

Subject to the approval of the Trustees of ECSC, or their nominated represented, the club room may be hired for a predetermined time for the exclusive use of the hirer and his/her guests provided that:

  1. The club room is not required by other members for particular purpose.
  2. The hirer is a member or associate member of ECSC.
  3. The hirer takes full responsibility for the behaviour of his/her guests.
  4. The club room is left in a clean and tidy condition.

Subject to the conditions above the hirer may invite to the event members and non-members to the stated capacity of the club room.
At the completion or the pre-determined hire time the hirer will ensure all non-members leave the pavilion premises.
